Terms and Conditions
1. Services
1.1 Wildbridge will provide services as outlined on its website and in accordance with these terms, including but not limited to backpacking trips and coaching sessions.
1.2 Backpacking trips are open to women and individuals who identify as women (the “Guided Trip”), as well as customized backpacking trips available to individuals of all genders (the “Custom Trip”). All backpacking-related services, including both Guided and Custom Trips will be collectively referred to as the “Trip” or “Backpacking”.
1.3 Wildbridge will also offer coaching sessions as described on its website which will be referred to as the “Coaching”.
2. Booking and Payment
2.1 Backpacking
- Deposit: A deposit equal to 35% of the total trip cost (the “Deposit”) is payable at the time of registration.
- Balance: The remaining balance (the “Balance”) is due no later than 60 days before the scheduled start of the trip. If the Balance is not received by the 60-day deadline, the Participant’s booking may be forfeited at the discretion of Wildbridge and the Deposit will not be refunded.
2.2 Coaching
- At the time of booking, Participants will pay for a one-hour Coaching session at the rate published on Wildbridge’s website. Any additional time beyond the initial hour will be billed in 30-minute increments at the conclusion of the Coaching session.
3. Transfers, Cancellations, and Refunds
3.1 Backpacking
- All changes to Backpacking bookings (the “Bookings”) requested by Participants, if approved, are subject to a $75 administration fee. All cancellation and transfer requests must be submitted in writing.
- Deposit: The Deposit is refundable if written notice of cancellation is received at least 90 days before the trip start date. After that time, the Deposit is non-refundable.
- Balance: The Balance is refundable if cancellation is received at least 45 days before the start date.
- Participants may transfer their booking to another eligible Participant up to five days before the Trip, with written notice and approval from Wildbridge.
- If a cancelled Booking is filled from a waitlist, the Participant will receive a full refund of both the Deposit and the Balance. Wildbridge is under no obligation to replace a cancelled booking.
- Bookings made less than 45 days in advance are non-refundable.
- In the event that a Participant is not at the selected meeting location for the start of the Trip within 30 minutes of the scheduled start time then the tour will leave and there will be no refund to the Participant.
3.2 Coaching
- Cancellations or rescheduling requests made more than 24 hours in advance of a scheduled Coaching session are eligible for a 50% refund. If a Coaching session is cancelled or rescheduled by the Participant less than 24 hours in advance, no refund will be issued.
4. Dietary Restrictions & Last-Minute Bookings
4.1 Wildbridge will work with its chosen food provider to accommodate common dietary restrictions. Participants must advise Wildbridge of any dietary needs at least two weeks prior to the start of the Trip. For last-minute bookings, Wildbridge will do its best to meet dietary needs if informed as early as possible but cannot guarantee the ability to make accommodations.
4.2 Wildbridge does not guarantee the absence of cross-contamination of allergens and accepts no responsibility for any adverse reactions or injuries resulting from the food prepared and provided. If Participants have severe allergies or complex dietary requirements, they must consult with Wildbridge in advance of the Trip as Wildbridge may not be able to safely accommodate the Participant’s needs and other arrangements will need to be made.
5. Equipment
5.1 Wildbridge will provide group and safety equipment such as: first aid kits, group water filtration, shared cooking equipment, and group shelter (e.g. tarp).
5.2 Participants will be provided with a list of personal equipment for which they are responsible and are required to pack and will be solely responsible for the equipment on that list. Wildbridge may provide a list of service providers for the Participant’s convenience; however, Wildbridge does not endorse or guarantee their services and will not be responsible for any equipment or defects in equipment.
5.3 Failure to bring necessary equipment may impact the Participant’s ability to participate, and no refunds or accommodations will be provided in such cases.
6. Weather and Trail Conditions
6.1 Wildbridge reserves the right to change or cancel a Trip in its sole discretion due to safety concerns, including but not limited to weather, trail closures, emergencies, or other adverse conditions. If a Trip is cancelled due to adverse conditions, Participants may choose one of the following options:
- The Balance will be refunded; or
- The Participant may transfer the full payment to another Trip in the current or following calendar year.
7. Safety
7.1 If Wildbridge determines, in its sole discretion, that a Participant poses a risk to their own safety or the safety of others, Wildbridge may take appropriate action, including but not limited to the removal from the Trip. Participants who are removed will not be entitled to a refund and will be responsible for any associated costs or expenses
7.2 The use of any impairing substances is strictly prohibited during any active component of the Trip. The use or possession of illegal or otherwise prohibited substances at any time may result in immediate removal from the Trip, without refund. If a Participant wishes to consume legal substances during downtime (e.g., in the evening at camp), they must notify the guide in advance so their condition can be appropriately monitored for safety in the event of an emergency.
8. Eligibility and Skill Requirement
8.1 Guided Trip Participants must be 19 years of age or older. Custom Trip Participants must be 12 years of age or older unless otherwise agreed in writing.
8.2 Participants must be capable of carrying a 13.5 kg (30 lb) backpack for a minimum of 10 km per day over uneven terrain, in unpredictable weather conditions, for multiple consecutive days. Wildbridge reserves the right to assess Participants’ skills and fitness and may, at its sole discretion, decline participation to ensure group safety and enjoyment.
8.3 It is the Participant’s responsibility to advise Wildbridge of any health conditions which may affect their ability to participate in the Trip and any expenses resulting from actions Wildbridge must take as a result of incomplete disclosure will be borne by the Participant.
9. Emergencies
9.1 Wildbridge reserves the right, in its sole discretion, to determine whether a Participant requires emergency medical attention or evacuation. Participants who are evacuated for any reason will not be entitled to a refund. In the event of an injury, evacuation, or early departure from a Trip, Wildbridge is not responsible for any associated costs or expenses.
9.2 Participants are strongly encouraged to obtain trip cancellation, interruption, and evacuation insurance.
By paying the Deposit, the Participant confirms their agreement with these Terms. The Terms constitute the entire agreement between the parties and supersedes all prior agreements, whether written or oral, relating to the subject matter herein.
